Job Responsibilities

  • Provides professional representation of the function liaising frequently with senior-level personnel, Directors, and external collaborators and contacts to assist with departmental objectives.
  • Provides leadership with extensive and continuous calendar management, domestic and international travel management,
  • expense management, event registrations and detailed meeting plan management, and all other executive support.
  • Coordinates and arranges on and off-site meetings, and events, and manages the appointments & travels for unit/departmental
  • leadership with supporting materials as needed.
  • Orders equipment or inventories as required and raises the shopping cart.
  • Creates presentations, coordinates, and collates data for monthly reporting.
  • Assists executive leadership in tracking key operational metrics by organizing and compiling data, researching facts, and coordinating information retrieval.
  • Independently performs special projects that require a combined knowledge of administrative needs and technical operations.
  • Acts as representative of executive leadership regarding internal and external relations and correspondences and screening communications.
  • Addresses matters of a sensitive nature whether routine or non-routine and applies judgement and initiative in the prioritization of such issues.
  • Ensures that executive leadership is informed of priorities, deadlines, and challenges.
  • Arranges teleconferences, domestically and/or internationally.
  • Track internal and external contacts and maintains the database.
  • Provides backup administrative support to others as necessary and guides the junior administrative staff.

Education

  • Bachelor’s Degree in a related discipline with 7- 8 years of relevant administrative experience. Prior experience in research,

  • Handles the day-to-day relations with the media, including media queries, media interviews, and press conferences, preparing news releases and media kits etc.
  • Cultivates and maintains relationships with key news media at local and international levels and assisting in organizing media events and promotional activities.
  • Responds to and follows through on requests for information from the media and the public.
