Role:
SHUAA is currently seeking an
Office Administrator to join its Administration function in Abu Dhabi. The role will be responsible to undertake end-to-end office administration tasks, ensuring the general office and staff are adequately supported to operate efficiently and professionally.
Only bilingual (English and Arabic) candidates will be considered.
Responsibilities:
The essential responsibilities of the Office Administrator include, but are not limited to, the following:
- Answering incoming calls promptly, taking messages, and re-directing as required.
- Receiving visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately, and ensuring all arrangements for visitors are in place, including visitor passes, parking, catering, etc.
- Control, monitor, record, and report on petty cash and credit card balances, transactions, replenishment, and reconciliation.
- Manage all couriers and deliveries (incoming and outgoing).
- Perform other clerical receptionist duties such as filing, scanning, photocopying, shredding.
- Requesting and obtaining building permits and approvals – service lift access, contractor permit, and visitor/employee passes and access cards.
- Ensure cleanliness and upkeep of all office vicinities.
- Manage office support personnel, drivers, cleaners (including scheduling, uniform, attendance, overtime, holidays).
- Keep track and manage company vehicle registration, renewal, maintenance, fines promptly. Ensure drivers’ licenses are valid.
- Handle all scheduling, booking, reservation requests from other departments (including meeting rooms, hotels, airlines, external venues).
- General office management such as ordering and keeping inventory of stationary, pantry supplies, etc.
- Arranging for both internal and external events.
- Handle all office related service providers, including those for cleaning, maintenance, and supplies.
- Administer the procurement module in the system – includes supplier registrations, purchase requisitions, purchase orders, and invoices/receipts.
- Other ad-hoc administrative tasks (including but not limited to, in current times, PCR tests for support staff, drivers, and cleaners).
Qualifications
• Experience: 1-2 years of experience in administration in a professional service environment (bank, law firm, private office). Ability to conduct financial computations, analysis, and reports in Excel using formulas.
• Education: Bachelor’s degree from a recognized University in a related, complimentary, or value add field to the business and role is required.
• Knowledge: Experienced with Microsoft Outlook, Teams, Excel, PowerPoint, and Word, as well as Zoom (experience with ERP systems is a strong advantage).
• Language: An excellent command of English and Arabic, spoken and written.
