Assistant Manager – Warehouse Operations – (000676)
- Ensure service standards for product dispatching are maintained and all processes are followed by employees through direct supervision
- Understand and monitor the implementation of the company’s policies, procedures and standards in addition to full compliance with internal and external audit and control standards as per the customers requirements
- Hands-on approach to all tasks within the warehouse and where the warehouse operation interfaces with other functions
- Lead a team of Inventory and Operations staff to receive and record new stock as it comes in, and move stock onto trucks or store shelves as needed
- Create schedules, monitor stock levels at the warehouse and identify when to replenish stock
- Maintain a high standard of housekeeping and organisation throughout the warehouse(s) units, with a strong emphasis on Health and Safety
- Deputise for Manager – Warehousing & Distribution in his absence, including managing staff and handling all queries
Customer Service - Timely distribution and dispatchment of customers products
- Collaborate with customers, vendors, internal business partners and other stakeholders to identify customer requirements, assess impact/scope, compare costs and benefits, recommend solutions to the Manager and subordinates and manage tasks through completion
- Coordination and administration of the customers’ warehouse operational process including liaising with customers to ensure all queries are dealt with professionally and within the service level agreement
- Establish and maintain excellent relationships with onsite customers and other key stakeholders
Operating Systems - Assist in the implementation and management of the Warehouse Management System (WMS)
- Use WMS to monitor demand and document characteristics of inventory, report to the Manager on stock levels and issues as they come up
- Daily control of inventory through inventory team to ensure accurate input of received & dispatched products and material into the system to maintain integrity of stock count
Leadership and Training - Provide recommendations on new subordinate hires and ensure the availability of all resources required to perform assigned tasks and activities
- Supervise subordinate staff, assign work activities, monitor performance and review results
- Act as a coach to subordinates, identify their training and career development, recommend training courses and follow-up on their personnel records such as timesheets, discipline, vacations, leaves and absenteeism
Other - Perform other job-related duties and projects as assigned
Education & Professional Qualification:
- Diploma or Bachelor’s Degree
Professional Experience:
- 3 – 5 years of experience in the similar role in warehousing operations background
- Experience in managing large number of workforce
- Preferably with experience in contract logistics 3PL (outsource provider)
- Expert understanding of Inventory Control
Geographic Experience:
- Middle East/GCC experience is preferred
Computer Skills:
- Good knowledge of Office and web applications
- Experience in using modern WMS systems including barcoding, Master data, RF, etc..
Language Skills:
- Fluent in English – both written and spoken
- Other languages is a plus
Market/Industry/Functional Knowledge:
- Overall knowledge of the transport industry, maritime, logistics, warehouse and distribution
- Good understanding of international transportation, logistics, supply chain dynamics and best practices
- Good knowledge of commercial aspects of transport and logistics

• Execute tender plan for product and service categories to achieve the best value for the company;

Key Roles & Responsibilities
- Create bespoke technical procedures, specialist manuals and forms in order to provide the business unit and assigned site(s) documented work procedures and processes, support business continuity, provide continual improvement and operate to international standards in line with client, contractual and legal requirements
- Evaluate department and business unit and assigned site(s) work processes, performance against objectives, providing transparency, efficiency and financial savings, removing duplication, offering solutions that are cost effective, increase performance, reduce waste, eliminate loss and ensuring continual improvement via the audit process
- Manage and coordinate ISO international standards related activity for the department and business unit and assigned site(s) inclusive of audit planning, scheduling, audit function, issue of corrective actions and monitor until completion
- Conduct investigations (in accordance with procedural requirements) and document HSEQ incidents providing detailed reports
- Conduct technical HSEQ coaching for all levels of business unit management and personnel
- Act as technical specialist for health and safety matters and principle point of contact for the business unit and assigned site(s)
- Provide technical support to operational managers on potential conflicts between the business unit and clients, regulatory authorities, or other interested parties
- Measure business unit and assigned site(s) HSEQ compliance and implementation levels and provide detailed reports to senior management
- Identify and communicate HSEQ relevant international, GCC, and Qatar laws and regulations, and provide advice on the specific requirements within the department and business unit and assigned site(s) legal register to enable compliance.

Qualifications
Education & Professional Qualification:
- 3-year Full Time Degree in Health and Safety from a recognised institution; or
- 3-year Full Time Degree (Associated Degree) from a recognised institution and a 2-year Full Time Graduate Diploma in Health and Safety; or
- 3-year Full Time Degree (Associated Degree) from a recognised institution and NEBOSH Diploma in Occupational Health and Safety; or
- 3-year Full Time Degree (Associated Degree) from a recognised institution and Chartered member of IOSH
- Auditor qualification (preferred Lead Audit) for ISO accreditation framework
- Root Cause Analysis certification is preferred
- Training and Assessment qualification at Level 4 or higher is preferred
- First Aid certification is preferred
Professional Experience:
– 8 – 10 years of experience of which 8 years as HSE professional in heavy industry
- At least 5 years of experience with management accountability of HSEQ operational functions

Computer Skills:
- Good knowledge of Office and web applications
- Advanced MS Excel and PowerPoint skills
Language Skills:
- Fluent spoken and written English
- Ability to write high level reports of a precise nature
