Vacancy Details
Develop, organize and implement processes related to document control and management.
Main Duties & Responsibilities:
Document Control
Develop and implement processes related to document control within Design & Structural department and work with a project team in order to implement systems of control the Ongoing Projects Documents within the Design Team and with other Departments. Submit of documents and creating Transmittal through Document Control. Generate the various document control reports as required.
Digitizing Documents
Digitalize the Old Hard Copy Documents to be stored as Soft Copy in the Studio Server.
Maintaining Records and Documents
Maintain updated records of all approved documents and drawings and their distribution clearly. Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff. Manage and organize all data stored on studio Server related to the Design & Structural department. Responsible for labelling all documents related to his concerned department (Hard Copy / Soft Copy). Printing of site drawings, and follow up of all the site needs.
Sorting
Sort, organize and share all data related to employees that left the company. Make sure that documents are in the right location and categorized according to the specific project. Make all the Design Team data on Studio Server available for the Design Team through shared folders or any other convenient method.
Documents Tracking and Follow up
Tracking the pending documents through weekly progress reports. Perform and/or support regular audits of document control processes and procedures.
Administer document processes and systems to ensure control and availability of documentation to site personnel.
Minimum Qualification & Experience:
- Bachelor degree in Business Administration or closely related field
- 2 years minimum in a in Administration or related role
- Very Good Communication in English Language.
- Experience in using MS-Office Package (Word, Excel, PowerPoint)
- Experience in using Office machinery (Scanner, Copier Machine, Printers, Projector )
- Expected to be proficient in Adobe Acrobat and AutoCAD.
